JOB SUMMARY:

The Projects Manager/SA provides strategic and administrative support to the Senior Vice President for Institutional Advancement & External Relations, as well as to the Capital Campaign Staff Planning Team.  In addition s/he supports the Director of the President’s Council.  S/he manages special projects and special events initiated in the Institutional Advancement division.

QUALIFICATIONS:

    Projects Manager:

  • Manages multiple fundraising  projects (templates) that will constitute the foci of the upcoming comprehensive campaign. This requires exceptional organizational skills to be able to track staff, faculty, trustees and volunteers with strategies for fundraising projects, working primarily with the Senior Vice President, Associate Vice President and the Major Gifts Officers. 

 

  • Develop and manage effective office systems to ensure efficient and timely decision making.  The Institutional Advancement office is dependent on technology and advancement systems to support a highly personal and relationship-based development program, and s/he must be knowledgeable and supportive of both dimensions of the operation.

 

  • Represents Senior Vice President  as appropriate, in resolving problems and complaint from donors, alumni, parents, students, staff, and other constituencies.  Similarly, gathers appropriate background information for the Senior Vice President to render a decision.

 

  • Facilitates the flow of information to and from the Senior Vice President; reviews and replies to correspondence as appropriate.  Assists the Senior Vice President with research, correspondence and reports.

 

  • Serves on committees and task forces as directed by the Senior Vice President.  Attends campus events/meetings on behalf of the Senior Vice President.

 

  • As requested by the Senior Vice President, develops and manages special projects.  Monitors initiatives established by the Senior Vice President to ensure timely and successful completion by all staff.

 

  • Supports the Senior Vice President’s work, as appropriate, with organizations outside of Occidental College with whom the Senior Vice President has significant affiliation.

 

    Special Assistant: 

  • Responsible for providing proactive administrative support to the Senior Vice President.  S/he must possess exceptional organizational skills and highly developed administrative and managerial talent, including the capacity to anticipate and assess needs, initiate and execute administrative decisions, multi-task disparate and demanding activities, communicate fluently both orally and in writing to internal and external stakeholders, and manage a high profile executive office.

 

  • S/he frequently works with the President’s office, Board of Trustees, and alumni and community leaders, as well as with other Vice-Presidents and faculty leaders, requiring diplomacy, tact, and sensitivity to the need for confidentiality.

 

REQUIREMENTS:

The position requires a minimum of seven years of executive assistance experience in a fast-paced, high profile setting, ideally in private higher education or in a philanthropic foundation.  A baccalaureate degree is required.  A highly developed decision-making ability, a strategic approach to problem solving and exceptional administrative skills are essential qualifications.
