JOB SUMMARY

 

Responsible for operations of Undergraduate Research Center and Sponsored Research Office, including one full time staff and student employees.  Oversee grant funds, endowed funds, gifts, and operating budget funds totaling nearly $1MM.

 

 

JOB RESPONSIBILITIES

 

Undergraduate Research Center:

Direct all aspects of academic year undergraduate research support, including educating students and faculty about programs including Academic Student Projects (ASP), Richter-ASP awards, Science Scholars Awards, National Conference on Undergraduate Research.  Arrange student attendance at SCCUR, NCUR, and other conferences, including, when required, air and ground transportation, hotels, registration.  Counsel students about potential projects and the process for obtaining support; manage the acceptance and processing of proposals; review, select and determine funding for projects.  Assure review by IRBs when appropriate, supervise collection of reports on completion of project.  Manage database of information about all funded students, including designing instruments, analyzing and reporting on outcomes.  Communicate with faculty and administration about policies, procedures, outcomes and challenges.  Manage and supervise budgets used to support academic year program, including operating budget, endowed funds, grants and gifts.  Meet with and present to prospective and admitted students to discuss opportunities for independent research at Oxy.  Serve as point of contact for internal and external queries about Oxy research program and student research results.  Work with Institutional Advancement and Admissions as requested to highlight student and college achievements.  Manage URC website to assure information is current and accurate, prepare and post new sections as needed.

 

Summer Research Program:

Direct campus wide Summer Research program involving more than 100 students, 50 faculty, 30 different funding sources.  Counsel applicants, oversee submission of all components of proposals, review proposals and recommend for funding, manage logistics of meetings of Faculty Research Committee to select researchers.  Maintain relationships with off-campus research sites (City of Hope, Kaiser Research Center), recruit student researchers and manage logistics of their placement.  Optimize use of available funding and track expenditures.  Prepare contracts for summer researchers, oversee all human resource and residence hall documents, assure review by IRBs when appropriate.  Manage weekly luncheon seminar series and assessment of program.  Organize end of summer conference, including scheduling, supervising preparation of conference program and all logistical issues.  Direct on-going assessment of the program including collection of surveys, data entry and analysis.  Collaborate on preparation of college grant proposals to support program, planning budgets, developing timelines, describing program activities, and preparing reports.

 

Sponsored Research Office:

Coordinate compliance with Federal regulations and College policies related to sponsored research.  Inform and counsel faculty regarding such regulations and sources of outside funding.  Provide guidance to faculty on preparation of College Request for Proposal Approval and Submission (RPAS) forms.  Will oversee SRO website to support faculty efforts to obtain outside funding.  When requested, work with faculty to develop budgets, review and submit proposals.  Serve as Authorized Organizational Representative for Federal on-line grant submission websites, including NSF Fastlane, and grants.gov for Federal programs including NIH, USDA, NEH, DoEd.  Work with Grants and Contract Office (Business Office), Corporate and Foundation Relations Office (Institutional Advancement), College Counsel's Office, and Human Resources to assure compliance with all College and governmental policies and risk management for grant activities.  Collaborate with Corporate and Foundation Relations Office on preparation of proposals to support URC programs and other undergraduate research; maintain records and prepare reports for awards as required.

 

 

 

JOB QUALIFICATIONS

 

A Bachelor's degree is required (Graduate degree preferred) with significant knowledge of and familiarity with management of undergraduate research programs, grant submissions, activities, and compliance.  Requires initiative in organizing programs and planning events. Must possess exceptional communication ability, data management and administrative skills. Experience in working in a college or university setting is required, as is a demonstrable commitment to promoting and enhancing diversity in undergraduate research.
